What Is a Recommendation Letter?

A letter of recommendation is a written endorsement in which someone who knows a candidate's work argues that they should be selected for a specific opportunity — a job, a college place, a graduate program, a scholarship or an internship. To write one, use four paragraphs: say who you are and how you know them, name two or three qualities you can genuinely vouch for, give one concrete achievement that proves those qualities, and close by recommending them plainly. One page is right. The generator above assembles that structure in the register the opportunity calls for.

The difference between a letter that helps and one that does nothing comes down to a single paragraph: the specific example. Committees read hundreds of letters describing candidates as hardworking and dedicated. They remember the one that described what the person actually did.

Recommendation Letter vs Reference Letter

These get used interchangeably, and in casual conversation nobody minds. When it matters, the difference is how specific the letter is and how hard it pushes.

A recommendation letteris written for one named opportunity. It is addressed to a specific person or committee, refers to the role or program directly, argues actively that the candidate should be chosen, and is usually sent by the writer rather than handed to the candidate. It runs longer — 300 to 500 words — because it is making a case.

A reference letter is broader and more neutral. It confirms a relationship and describes character without a particular opportunity in mind, is often addressed "To Whom It May Concern", and can be reused. The Structure of a Strong Recommendation

  1. Establish your standing.Your role, how long you have known the candidate, and in what capacity. A reader weighs everything else against how well you could plausibly know them, so put it first rather than leaving it to be inferred.
  2. Name two or three qualities.Pick the ones that matter for this opportunity. Listing eight qualities reads as a writer who does not know which two count, and dilutes the ones that would have landed.
  3. Prove it with one specific occasion.What was the situation, what did they do, what happened. This is the paragraph that gets remembered, and the reason the tool above asks for an achievement rather than more adjectives.
  4. Endorse without hedging.State plainly that you recommend them, offer to answer questions, and include your title and contact details. Qualifiers you think sound measured — "generally reliable", "should do well" — read to a committee as reservations.

Mistakes to Avoid

Generic praise. "A pleasure to work with" and "a valuable member of the team" appear in almost every letter ever written and are read as filler. If a sentence could describe anyone, it is doing no work.

No example at all. A letter of pure assertion is the most common weak recommendation. One occasion described in two sentences outperforms a page of adjectives.

A lukewarm tone. This is the one that does real damage. Readers are practised at spotting faint praise, and a tepid recommendation harms a candidate more than no letter at all. If you cannot write warmly, decline — kindly and early, so they can ask someone else.

Mentioning weaknesses unprompted.Unless the form explicitly asks for areas of improvement, a volunteered criticism is the only thing the reader will retain.

Letting the candidate write it.Common, and it shows. If you are asked to sign a draft, rewrite it in your own voice at minimum — committees compare letters and notice when one sounds like the personal statement beside it.
